Frequently Asked Questions
Everything you need to know about Tour Hub Pro — the all-in-one booking and business management platform built for tour operators and water sports companies.
Getting Started
Tour Hub Pro is an all-in-one business operating system purpose-built for tour operators, water sports companies, and activity providers. It goes far beyond basic booking software — it’s a complete platform that manages your reservations, resources and equipment, employee scheduling and payroll, maintenance tracking, expenses, customer relationships, digital waivers, and daily reports all in one place. Instead of paying for five or six separate tools, Tour Hub Pro gives you everything you need to run your entire business from a single dashboard.
Tour Hub Pro is built specifically for tour operators, water sports businesses, activity providers, and experience-based tourism companies. This includes jet ski rental operators, boat tour companies, snorkeling and diving outfitters, kayak and paddleboard rental businesses, ATV tour providers, zip-line operations, walking and cultural tour companies, charter boat operators, multi-day expedition organizers, and destination management companies. If your business involves booking experiences, managing physical equipment, and coordinating staff — Tour Hub Pro was designed for you.
Getting started is simple. Book a demo and our team will walk you through the platform in about 20 minutes. Once you sign up, Tour Hub Pro’s guided onboarding wizard takes you through four easy steps: setting up your company profile, creating your first service, inviting your staff, and adding your first reservation. Most operators are up and running within a day.
Tour Hub Pro charges just 3% per booking — half the 6% that platforms like FareHarbor charge. For a business doing $500K in annual revenue, that’s $15,000 per year you keep instead of giving to your booking platform. Plus, you’re getting far more than a booking tool — Tour Hub Pro includes resource management, payroll, maintenance tracking, and expense management that competitors either don’t offer or charge extra for through third-party integrations.
Booking & Reservations
Tour Hub Pro provides a full reservation lifecycle — create, edit, confirm, cancel, and reschedule bookings with ease. Each reservation supports multiple services and variations, line-item breakdowns with per-item time slots, customer records, payment tracking, employee assignments, and location tagging. The system handles both online bookings and walk-up sales, with real-time availability checks to prevent overbooking. You can set minimum booking notice periods, capacity limits per variation, and exclusion periods for dates you’re not operating.
Yes. Tour Hub Pro provides a fully customizable embeddable booking widget that you can add to any website — WordPress, Wix, Squarespace, or custom-built sites. You can customize the button color, font color, font size, button dimensions, and text to match your brand perfectly. Just copy and paste a small code snippet and your customers can book directly from your website.
Absolutely. Tour Hub Pro’s dynamic pricing engine includes four powerful pricing rules that adjust automatically: Group rates that discount based on party size, last-minute pricing that adjusts as departure time approaches, availability-based pricing that changes when spots are limited, and date range rates for seasonal or peak-period pricing. You can also set up ticket-based pricing tiers (adult, child, senior) with different rates per variation.
Yes — this is one of Tour Hub Pro’s most powerful features. Each service can have unlimited variations with different durations, pricing, capacity, resource requirements, and payment options. For example, a jet ski rental business could offer a “25-Minute Ride,” “60-Minute Island Tour,” and “2-Hour Adventure” all under one service, each with its own price, equipment needs, and staff assignment. Variations can be set up as sequences (multi-step itineraries) or any-order (standalone activities), and they support multi-day experiences as well.
Yes. Tour Hub Pro includes booking source tracking so you can identify exactly where each reservation originates — whether it’s from your website, an OTA partner, a cruise ship excursion desk, a hotel concierge, or a direct walk-up. The system also supports booking source variation aliasing, which lets you map external product names from partners to your internal services so everything stays organized regardless of how outside sources refer to your tours.
Payments & Pricing
Tour Hub Pro integrates with Stripe for secure online credit card processing and supports three payment configurations per variation: full payment upfront, deposit with balance due later, and cash on arrival. You can also process split payments for group bookings, track multiple payment types (cash, card, transfer), and manage holding deposits that automatically capture or release on configurable timelines. Gift cards and discount codes are built right into the checkout flow.
Yes. You can create gift cards and discount codes with percentage-based or fixed-amount discounts, set expiration dates, track usage and redemption limits, and link them to specific customers. Tour Hub Pro also includes a credit account system for stored-value cards, making it easy to sell gift cards online or in person and track their balance over time.
Equipment & Resource Management
Tour Hub Pro tracks every individual piece of equipment in your fleet — each jet ski, kayak, boat, bike, or vehicle is a separate resource item with its own profile. You can record the make, year, serial number, purchase price, purchase date, and current operating hours for each unit. Resources are organized by type and category, with seat-based allocation rules for capacity management. The system ties resource availability directly to your reservation time slots in real time, so you always know exactly what’s booked, what’s available, and what’s in maintenance.
Yes — this is a feature most booking platforms don’t offer at all. Tour Hub Pro includes a full maintenance management system with service records, work type categorization, parts tracking and ordering, maintenance templates for recurring procedures, status tracking (scheduled, in-progress, completed), priority levels, and hour/mileage logging per maintenance event. You can track equipment hours for usage-based maintenance scheduling, so you know when each unit is due for service based on actual use — not just calendar dates.
Upsells let you offer add-ons at the point of booking to increase revenue per customer. Tour Hub Pro supports two types: additional time (extend the experience duration) and additional equipment (add more gear to the booking). Upsells are resource-aware, meaning they check equipment availability and account for the extra duration before offering them to customers. You can link upsells to specific services and variations, add sales pitch descriptions, and set pricing per add-on.
Staff & Operations
Yes. Tour Hub Pro includes a full employee management suite: employee profiles with role-based access, a 6-tier permission system with 19+ granular permission categories, daily scheduling, digital timesheets with QR code clock-in, wage calculation with pay period management and deductions, leave request management, performance reviews with customizable scoring, and even disciplinary action tracking. You don’t need a separate HR tool — it’s all built in.
Daily reports give you a complete end-of-day operational snapshot for each location. They track cash float, starting and ending change, total cash and card payments, total revenue earned, employee assignments, reservations completed, transactions processed, tasks completed, and notes. Reports are linked to specific locations, so multi-location operators can see performance breakdowns by venue. It’s like having a digital cash register receipt combined with a daily operations log.
Absolutely. Tour Hub Pro uses a 6-level permission system with 19+ permission categories including Dashboard, Reservations, Services, Daily Reports, Products, Customers, Resources, Upsells, Tasks, Expenses, Financial Reports, Payroll, Employee Records, Scheduling, Maintenance, Blog, Equipment Hours, and Calendar View. You can set each employee to exactly the right access level — so a front-desk staff member sees reservations and customers, while a mechanic only sees maintenance and equipment, and a manager sees everything.
Customers & Waivers
Yes. Every customer gets a detailed record with contact information, booking history, notes, and custom field responses. You can organize customers into lists for segmentation, add internal notes for relationship tracking, create custom fields to collect additional information relevant to your business, and manage email lists for marketing. Tour Hub Pro also supports importing customer data from spreadsheets, making migration from another system straightforward.
Yes. Tour Hub Pro includes a built-in digital waiver system where you can create custom waiver forms with your own text, add acceptance checkboxes with custom statements, collect e-signatures, and include custom fields to gather additional participant data. Waivers are linked to specific services so they automatically attach to relevant bookings. Customers can sign before they arrive, saving time on the day of the experience and ensuring you have liability protection on file.
Financial Management
Yes. Tour Hub Pro includes full expense tracking with categories, suppliers, line items, and receipt image attachments. You can set up recurring expenses with configurable frequency, link expenses to specific resource items for cost-per-asset tracking, and generate financial reports covering revenue, expenses, wages, and customer metrics. The dashboard provides a configurable overview of your key business metrics so you can see your financial health at a glance.
Yes. You can configure both inclusive and exclusive taxes and fees, apply them to reservations automatically, and track them across all transactions. Tour Hub Pro supports multi-currency operations and country-specific tax configurations so you can comply with local regulations regardless of where you operate.
Technical & Integrations
Yes. Tour Hub Pro is a cloud-based SaaS platform accessible from any web browser on desktop, tablet, or mobile. All data updates in real time across all users and devices, so your front desk, your guides out on the water, and your office manager all see the same up-to-date information. There’s nothing to install — just log in and go.
Tour Hub Pro integrates with Stripe for secure payment processing, Postmark for reliable transactional email delivery with custom domain support, TripAdvisor for review management, and Google for authentication. The platform also exposes key data types via API for custom third-party integrations, and the embeddable booking widget works with any website platform.
Yes. Tour Hub Pro supports multiple locations per company. Reservations, daily reports, and resources can all be linked to specific locations, giving you per-location performance tracking and resource allocation. This is ideal for operators who run from multiple beaches, marinas, or tour departure points.

Switching to Tour Hub Pro
Most booking platforms like FareHarbor, Peek Pro, Rezdy, Bokun, Checkfront, TrekkSoft, and Xola focus primarily on reservations and payments. Tour Hub Pro does all of that at half the transaction fee (3% vs 6%), plus it includes resource and equipment management, employee scheduling and payroll, maintenance tracking, expense management, daily operational reports, digital waivers, and customer CRM — all in one platform. With competitors, you’d need to buy and integrate multiple separate tools to get the same functionality.
Yes. Tour Hub Pro supports data import for customer records and reservations, making it straightforward to migrate from your current system. The platform includes import fields for customer name, email, phone, and booking reference so your historical data carries over. Our team can help guide you through the migration process during onboarding.
